Where ServiceTitan export errors show up
When an invoice, payment or bill fails to reach QuickBooks Online, ServiceTitan lists it on the Pending Export Report with the error message. Open Reports in ServiceTitan and search for “Pending export”. An invoice that is in a batch but still shows Posted or Pending has not arrived in QuickBooks, so the report is the first place to look whenever revenue in the two systems does not match. Fix the cause the message points to, then export the item again. Use Bypass only when you have confirmed the transaction is already in QuickBooks, because a bypass marks it as exported in ServiceTitan without sending any data, which hides a real gap instead of closing it.

A batch can also show as partially exported when every item did arrive. Check QuickBooks first, and bypass only the items you have found there. A batch that stays locked after an interruption needs ServiceTitan Technical Support to unlock it.

Error by error
The common errors and what fixes them
Most ServiceTitan to QuickBooks Online export errors come from four causes. A pricebook item or payment type points to an account QuickBooks does not have. A name in ServiceTitan clashes with a customer, vendor or employee name already in QuickBooks. Someone changed or deleted the transaction in QuickBooks after it was exported, so the next payment cannot link to it. Or a QuickBooks setting, such as a closing date, blocks the posting. The fix is almost always to correct the setting behind the error once, in whichever system holds the wrong value, and then export again. Fixing only the single transaction lets the same error return with the next batch.

Accounts and mapping
| Error | The fix |
|---|---|
| GL account ‘[name]’ does not exist in QuickBooks | A pricebook item points to an account QuickBooks Online does not have. Create the account in the QuickBooks chart of accounts, or change the item's GL account in ServiceTitan. If it is a sub-account, the ServiceTitan name needs a colon between parent and child, and the parent must exist in both systems. |
| Account ‘Payment type’ is not found, or Required parameter AccountRef is missing | The payment type has no GL account behind it. Under Settings, Invoicing, Payment and Invoice Types, give it an asset or liability account. A payment type set to export as Payment cannot carry an account and goes to Undeposited Funds. |
| Accounts Receivable used in an item | QuickBooks Online does not let an item post to Accounts Receivable. It usually hits the Retainage item. Point the item at a different account. |
Names and duplicates
| Error | The fix |
|---|---|
| Duplicate name already exists, or The name supplied already exists (6240) | A customer name can clash with a vendor, an employee, a technician on a bill or a service location already in QuickBooks. Rename the record in QuickBooks, or the location in ServiceTitan, and export again. |
| Cannot Change Who Customer Bills With | The sub-customer setup differs. Either clear “Is a sub-customer” in QuickBooks, or rename the customer in ServiceTitan to the [parent]:[child] format. |
| Categories cannot be used in transactions (2500) | A QuickBooks product category has the same name as a pricebook task. Rename one of them, then remove and re-add the task on the invoice. |
Invoices and payments
| Error | The fix |
|---|---|
| TxnID Cannot Be Linked (620) | The invoice's customer was changed in QuickBooks after export, so the payment cannot find it. Put the invoice back on the exact customer name used in ServiceTitan. |
| Object Not Found (610) | The original invoice was deleted in QuickBooks. Bypass the payment on the Pending Export Report and enter it by hand in QuickBooks. |
| Duplicate Document Number Error (6140) | QuickBooks already has an invoice with that number. If it is the same invoice entered by hand, bypass it. If it is a different invoice, change the number in ServiceTitan. |
| Enter a transaction amount that is 0 or greater (6000) | The invoice total is zero or negative. Make the subtotal positive, or handle the credit with an adjustment invoice (see below). |
Settings and batches
| Error | The fix |
|---|---|
| The account period has closed (6200) | A closing date in QuickBooks blocks the posting date. Either change the closing date under Settings, Account and settings, Advanced, or move the transaction into an open month. |
| Throttle Exception was thrown | The batch is too large. Split it into small batches of three or four invoices and export each one. |
| Payment type should be active | The payment type must be active in both systems. Activate it, update the invoice to use it, save and export again. |

Refunds and credits
Where to fix customer balances: in ServiceTitan
Refunds, credits and corrections to a customer’s balance belong in ServiceTitan, which then exports them to QuickBooks Online. If the original invoice has not been exported yet, add the refund lines and a negative payment to it. If it has, which is the usual case, add an adjustment invoice to the original. An adjustment invoice with a net negative total exports to QuickBooks as a credit memo, and one with a net positive total exports as an invoice. Editing invoices after export is not supported with QuickBooks Online, and changing the customer or deleting the invoice in QuickBooks is what causes the TxnID and Object Not Found errors above. Make the correction in ServiceTitan and export it.
Source: ServiceTitan Help, How adjustment invoices display in QuickBooks
For a refund, ServiceTitan’s steps are: add each refunded item as a task with a negative price, add a negative payment equal to the full refund including tax, then batch and export the adjustment invoice, ideally before the refund is paid and before you reconcile the bank. The refund itself is then issued, and reconciled in QuickBooks. Set refund payment types to export as a Journal Entry; negative payments exported as a Payment cause export errors. If you track refunds in a Refunds Payable account, it should be zero at month end. A balance left there usually means a refund was paid without an adjustment invoice behind it.

Sales tax
Sales tax from ServiceTitan does not match QuickBooks
Sales tax on ServiceTitan invoices is calculated in ServiceTitan only. QuickBooks Online does not work it out again; it records the amount that arrives with each exported invoice. ServiceTitan applies tax by tax zone, and each zone is linked to a QuickBooks tax rate or group by entering that rate’s name in the zone’s Tax Code field. When tax in the two systems disagrees, the usual reasons are a zone rate that differs from the QuickBooks rate it is linked to, a customer location with the wrong zone on the invoice, or a location with no zone at all, which gives the error “Tax code for invoice is not specified”. Fix the zone, edit the invoice, and export it again.

Two setup points matter before the first export. QuickBooks Online does not create the “ServiceTitan Sales Tax” service item for you, so it has to be added by hand and linked to the zones. And the QuickBooks sales tax method should follow your accounting method: ServiceTitan points cash-basis businesses to manual sales tax and accrual-basis businesses to automated sales tax.

The zones only carry rates. Whether your labor and materials should be taxed at all depends on the state. Our contractor sales tax guide gives the rule for every state, with the state’s own source.
Switching versions
Moving a ServiceTitan shop from QuickBooks Desktop to Online
Moving from QuickBooks Desktop to QuickBooks Online while ServiceTitan is connected needs two clean-ups before the switch. First, customer names. With Desktop, ServiceTitan adds its customer number to the end of each name, so “John Doe” becomes “John Doe 1234”. QuickBooks Online does not support this Customer Sync ID, so ServiceTitan exports the plain name and creates a duplicate customer. Remove the numbers from the names in Desktop before you convert. Second, payments. Invoices moved from Desktop to Online lose their link to any ServiceTitan payment that has not been exported yet, so export every pending payment before the conversion.
Source: ServiceTitan Help, Using QuickBooks Desktop vs. QuickBooks Online
After the switch, three things work differently. Invoices already exported to QuickBooks Online cannot be edited from ServiceTitan, so corrections go through adjustment invoices. Purchase orders can export to QuickBooks Online as a single item holding the full cost of the order, which needs a service named “Service Titan PO Item” in QuickBooks. And sub-accounts must be written with a colon between parent and child in ServiceTitan’s GL account list, matching the QuickBooks chart of accounts exactly. Our chart of accounts for trade shops includes a ServiceTitan mapping you can start from.

Newer export method
If your account uses Touchless Integration
Touchless Integration is a newer way for ServiceTitan to send accounting data to QuickBooks Online, and it has its own error list. It needs account configuration through ServiceTitan Technical Support, works only with QuickBooks Online and Intacct, and needs the Journal Entries and Accounting Periods features set up in ServiceTitan. Several of its errors are fixed by changing something in QuickBooks and then syncing again, which is different from the batch export described above. If the errors in your account mention journal entries, deposits, classes or business units, you are probably on Touchless Integration, and the fixes below apply instead of the batch fixes for those messages.
Source: ServiceTitan Help, Resolve Touchless Integration export errors (QBO)
- QBO Class not found
- Map the business unit to a class that exists in QuickBooks Online.
- BusinessUnit (0) does not exist
- Every invoice and payment in the batch needs an active business unit. Assign one and try again.
- Deposit mismatch, or a payment changed after deposit
- Unmatch the deposit in QuickBooks, or remove the payment from the deposit, then sync again.
- Export finished with errors
- Create a QuickBooks account named othercurrentliability (lowercase, no spaces) with type and detail type Other Current Liabilities, then try again.
- Not synchronized yet, or Journal Entry not found
- Run a bulk sync from GL Administration under Accounting in ServiceTitan.
- Duplicate Document Number
- Delete the journal entry in QuickBooks, then sync again.
The record map
What each ServiceTitan record becomes in QuickBooks
ServiceTitan sends invoices and payments to QuickBooks Online in batches, and each record lands as a specific QuickBooks transaction. An invoice goes across only after its job is completed, and invoices and payments export either one document at a time or as a journal entry summary, depending on a setting. A net-negative adjustment invoice arrives as a credit memo and a positive one as an invoice. A refund travels as an adjustment invoice with negative lines and a negative payment, and the refund payment type should export as a journal entry. Some records never cross: batch numbers and names, inventory adjustments and inventory returns. When a QuickBooks number looks wrong, this map tells you where to look first.
- Invoice on a completed job
- An invoice in QuickBooks, or a line in a journal entry summary if the export is set to Journal Entry Summary. Invoices show in the Accounting tab only once the job is completed.
- Payment
- A payment against its invoice, so export the invoice first. A payment type set to export as Payment goes to Undeposited Funds; other payment types post to the asset or liability account set on them.
- Adjustment invoice, net negative
- A credit memo. The original invoice and the adjustment should net to zero.
- Adjustment invoice, net positive
- A regular invoice.
- Refund
- An adjustment invoice with negative tasks and a negative payment. Set refund payment types to export as Journal Entry. A Refunds Payable account should be at zero at month end.
- Batch number and name, inventory adjustments, inventory returns
- Not sent to QuickBooks. Bypass inventory adjustments and returns in the batch and enter them by hand in QuickBooks.

Prevention
A routine that keeps export errors small
Export errors stay small when the export runs every day and someone clears the Pending Export Report every week. ServiceTitan recommends batching, posting and exporting daily, and the export needs a QuickBooks admin login. Daily batches are short, so when one fails it involves a few invoices you still remember, and it stays well below the size that triggers the throttle error. At month end, compare invoiced revenue in ServiceTitan with income in QuickBooks, check that sales tax agrees, confirm Refunds Payable is zero, and then set the QuickBooks closing date. The closing date stops a late export from changing a month you have already reviewed; anything that belongs to a closed month then shows up as error 6200 instead.

Questions
ServiceTitan and QuickBooks export questions
Where do I see which ServiceTitan transactions failed to export?
In the Pending Export Report. In ServiceTitan, open Reports and search for “Pending export”. It lists every invoice, payment and bill that did not reach QuickBooks Online, with the error message for each.
Source: ServiceTitan Help, Not seeing an invoice exported to QuickBooks Online
Is it safe to bypass a failed export?
Only after you have confirmed the transaction is already in QuickBooks. A bypass marks the item as exported in ServiceTitan without sending anything, so using it on a real failure hides a gap between the two systems.

Can I fix an exported invoice in QuickBooks Online?
ServiceTitan does not support editing invoices that were exported to QuickBooks Online. Fix the record in ServiceTitan, usually with an adjustment invoice, and export the change.
Source: ServiceTitan Help, Using QuickBooks Desktop vs. QuickBooks Online
Does QuickBooks Online calculate the sales tax on ServiceTitan invoices?
No. Sales tax can only be sent from ServiceTitan. Each tax zone is linked to a QuickBooks tax rate or group, and the rates must match, so the tax on the invoice arrives in QuickBooks as calculated.

Why did my customers duplicate after moving from QuickBooks Desktop to Online?
QuickBooks Desktop customer names carry the ServiceTitan customer number at the end. QuickBooks Online does not support that Customer Sync ID, so ServiceTitan exports the plain name and creates a second customer. Remove the numbers from the Desktop names before you convert.

How often should we export from ServiceTitan?
ServiceTitan recommends batching, posting and exporting every day. Small daily batches are easier to fix when one fails, and the two systems never drift far apart.
