What to look for in QuickBooks Online

The card fees should show in Housecall Pro Payment Processing Fees, about $0.00 for this month. Each bank deposit should match one payout in Housecall Pro’s My Money page, not one invoice.

How the numbers are worked out

Each payment method has its own rate

Housecall Pro charges a percentage of each payment, and the rate depends on how the customer paid. A card tapped on a reader costs less than one typed in by your office, and American Express and business cards cost the higher rate whatever way they are taken. The calculator multiplies each row by its rate, adds 1% on the amount you paid out with Instapay, and takes the total off what you collected.

The bank never sees the invoices, only the payouts. Housecall Pro groups the payments, takes the fees off and pays out the rest, usually in 2 business days for cards and 1 to 2 for ACH. That is why a deposit is always smaller than the invoices it covers, and why it should be matched to a payout, not to a single job. Our guide on why Housecall Pro payouts don’t match bank deposits walks through every account Housecall Pro creates in QuickBooks Online and the five usual causes of a mismatch.

One way to pay less: ask your office to take cards on the reader or Tap to Pay where they can, rather than keying them in. On the same $10,000 in card payments, the gap between 2.59% and 3.49% is $90 a month, about $1,080 a year.

Questions

Housecall Pro fee questions

What are Housecall Pro's payment processing fees?

As of October 2026, Housecall Pro lists 2.59% for a card swiped, tapped or chipped, 2.99% for a card the customer enters online from an invoice, 3.49% for a card keyed in, scanned or saved on file and for any American Express or business card, 1% for ACH, 2.99% for PayPal and Venmo, and 4.99% for Klarna and PayPal Pay Later. Is there a fixed fee per transaction, like 30 cents?

Housecall Pro's fee page lists percentages only, with no fixed per-transaction fee, so the calculator uses percentages only. Tap to Pay costs $5 a month per active device, which is not part of a payout.

Why does my real payout differ a little from the calculator?

The calculator works on a month's totals and rounds each method's fee once. Housecall Pro charges each payment separately, so cents can differ. Refunds, disputes, card surcharges and Expense Card funding also change a payout and are not included here.

Can I add a card surcharge to cover the fees?

As of October 2026, Housecall Pro allows surcharges of up to 3% on credit cards only, not in Connecticut, Maine, Massachusetts or New York, and charges 0.50% on each surcharged payment. The calculator leaves surcharges out because Housecall Pro does not say what amount the 0.50% is charged on.

Where do these fees go in QuickBooks Online?

Housecall Pro books card processing fees to an account it creates called Housecall Pro Payment Processing Fees when it records each payout as a deposit. The fees in that account for a month should agree with the fees on your payouts in My Money.
