Three things Housecall Pro owners say to us on the first call

“Housecall Pro says we got paid. The bank deposit is a different number.”

“Undeposited Funds in QuickBooks keeps getting bigger.”

“My CPA asked why the deposits show up as sales.”

Housecall Pro sends invoices, payments and payouts to QuickBooks in one direction only, and it now books fees, tips, deposits and surcharges to accounts of its own. When a setting is off, or someone edits a synced invoice in QuickBooks, the two drift apart month after month. It is fixable, and it stays fixed once someone checks it every month.

Where a card payment goes before it reaches your bank

  1. Step 1

    Customer pays by card

The payment, and any card tip, is taken in Housecall Pro against the job's invoice.

  2. Step 2

    Held in Undeposited Funds

The sync puts the payment in QuickBooks' holding account until the payout.

  3. Step 3

    Payout, fee taken off

Housecall Pro groups the payments, books its processing fee and creates one deposit for the rest.

  4. Step 4

    Net deposit in the bank

The bank shows the net amount. We match it to the deposit to the cent, every payout.

Questions Housecall Pro owners ask

Straight answers before you book

Are you a bookkeeper for Housecall Pro users?

Yes. Books and Trucks keeps the books in QuickBooks Online for trade shops that run their jobs, invoices and payments in Housecall Pro: payouts, fees and tips matched to the bank, a monthly Housecall Pro to QuickBooks sync check, sales tax filed and the books closed every month.

Do I have to change how I use Housecall Pro?

No. Housecall Pro stays your tool for jobs, estimates, invoices and payments. We work in QuickBooks Online and read your Housecall Pro payout and invoice reports each month to check that both match.

Why don't my Housecall Pro payouts match my bank deposits?

Housecall Pro groups card payments in Undeposited Funds and pays them out in batches, after processing fees are taken off. It then records one deposit for the net amount. If a payout is also added from the bank feed instead of matched, or a refund is never added to a deposit, the numbers stop agreeing. We set it up correctly and tie every payout to the bank each month.

Housecall Pro has its own bookkeeping service. How are you different?

Housecall Pro Accounting keeps your books inside Housecall Pro and is a good fit for many shops. We are a fit when you want your books to stay in your own QuickBooks Online file, where your CPA already works, or when you want payroll, supplier bills, sales tax filings and job costing handled by the same team.

Which Housecall Pro plan do we need?

Housecall Pro lists its QuickBooks Online sync on the Essentials and MAX plans, not on Basic. On Basic, we can still keep your books from your bank feeds on our QuickBooks plan. Check Housecall Pro's pricing page for the current plans.

We take deposits before the job. How should they be booked?

Housecall Pro now lets you choose whether deposits sync as income or as a liability until the job is done. We look at how your shop takes deposits and set the option that keeps your sales and sales tax right for each month.

We use QuickBooks Desktop or Xero.

Housecall Pro links to QuickBooks Desktop through the Web Connector, with more work by hand, and to Xero only through third-party connectors. We can move you to QuickBooks Online first. We quote that once, after the free look.

My books are a mess right now.

Most new clients start that way. The free look shows how far behind things are. When you start a monthly plan, we fix the Housecall Pro settings and clean up all your past books in QuickBooks at no charge, however far back they go.

Can you only fix the Housecall Pro link, without monthly bookkeeping?

Yes. A one-time setup and repair runs $750 to $2,500, depending on how many months need fixing. We confirm the price in writing after the free look.

Who actually does the work?

A named bookkeeper on our team handles your account every month, and a senior accountant reviews the numbers before your monthly call.

Is our data safe with you?

Every login our team uses for a client system has two-factor authentication turned on. Access comes through the user you grant, not shared passwords.

What if it does not work out?

Month to month, cancel any time. You keep your QuickBooks file and your data.
