Guide for shops on Housecall Pro and QuickBooks Online
Housecall Pro to QuickBooks Online: what syncs, what does not, and how to clear the sync alerts
The Housecall Pro to QuickBooks Online sync is one-way: it sends invoices, payments, new customers and new Price Book items to QuickBooks within 2 to 5 minutes of a job being finished, invoiced or paid, and it does not send estimates, later edits or deletions. Below is the full list, the settings to check before the first sync, and the nine sync alerts with the fix for each, all from Housecall Pro’s own help pages.

What syncs
What Housecall Pro sends to QuickBooks Online, and what it leaves out
Housecall Pro lists four things that sync: invoices, payments including Service Plan payments, new customer information, and new Price Book Services and Materials. A sync runs within 2 to 5 minutes when a job is marked finished (if that trigger is on), when an invoice is sent, or when a job or invoice is marked paid; the Finish, Invoice and Pay buttons on the Job Details page all count. Everything else in the table is either not sent or only sent when you push it by hand.
| Record | Syncs? | What to know |
|---|---|---|
| Invoices | Yes | Pushed when the job is finished (if that trigger is on), when the invoice is sent, or when it is marked paid. The first push links the two invoices; later pushes update the same QuickBooks invoice. |
| Payments, including Service Plan payments | Yes | Payments entered in Housecall Pro sync to the linked QuickBooks invoice automatically. |
| New customers | Yes | Created in QuickBooks when the customer's first job syncs. Contact and address fields map to the QuickBooks customer; the service address appears as the invoice's shipping address, not on the customer record. |
| New Price Book items (Services and Materials) | Yes | Synced the first time they appear on a pushed invoice. Materials arrive as non-inventory items. The income account set in Housecall Pro carries over. |
| Estimates | No | Housecall Pro says estimates do not push to QuickBooks Online. |
| Printed invoices | Not by printing | Printing an invoice does not push it. Use Finish, Invoice or Pay, or push it by hand. |
| Edits to a synced invoice | Not automatically | Changes to line items, quantities, prices, descriptions, the invoice date or due terms need a manual push. |
| Deleted or cancelled invoices | No | Delete or cancel the invoice in QuickBooks yourself; the sync does not do it. |
| Price Book edits made in QuickBooks | No | Items edited in QuickBooks do not flow back. Make the same change in Housecall Pro. |
| Payments entered in QuickBooks | Only by hand | They can be pulled into Housecall Pro manually; they do not arrive on their own. |
| Labor and materials as separate lines | No | Housecall Pro does not separate labor from materials in the sync; items arrive as Service and Parts items. Items typed straight onto the job, outside the Price Book, land in QuickBooks under Sales. |
The manual push lives on the Job Details page: open the QuickBooks Online section, click the three dots and choose Push invoice to QBO. A $0.00 invoice can be pushed as long as it has one line item. Only the first push creates the link between the Housecall Pro invoice and the QuickBooks invoice; every later push updates that same QuickBooks invoice rather than creating a new one.
One habit saves the most clean-up: make every change in Housecall Pro, then push. A customer renamed in Housecall Pro updates in QuickBooks when their next invoice syncs. A Price Book item renamed in QuickBooks does not come back, so the two drift apart until someone fixes it on the Housecall Pro side.
Settings to check first
Six things to get right before the first sync
Most alerts trace back to a setting rather than to a bad invoice. The QuickBooks Online settings in Housecall Pro sit behind the QuickBooks icon in the top right of the navigation bar: Sync alerts, Import, Banking and Account details. These six checks remove the usual causes before they become alerts.
| Check | Why |
|---|---|
| Your plan | QuickBooks Online sync is listed on Housecall Pro's Essentials plan ($149 a month billed annually, $189 month to month) and on Max. The Basic plan does not list it. |
| The Banking page | The bank account on the QuickBooks Banking settings page must match the account in Payout Settings on the My Money page. A mismatch is behind the Invalid Item Ref alert below. |
| Imports from QuickBooks | The first connection can import your QuickBooks customers, invoices, Price Book items, tax rates and Business Units (as Classes). Housecall Pro says to run additional imports no more than two times after that. |
| Tax rate names | Every tax rate name and percentage used on a job must exist in QuickBooks with exactly the same name. Housecall Pro does not support compound tax rates. |
| Customer Display Names | QuickBooks needs each customer, vendor and employee name to be unique. Two customers with the same Display Name, or a customer who shares a name with a vendor, will stop their invoices syncing. |
| Disconnecting | Housecall Pro asks you to contact its chat support before pressing Disconnect My Account, to avoid errors. |
The nine sync alerts
Each Housecall Pro sync alert, what it means and how to clear it
The Sync Alerts page lists every invoice or job that failed to sync, with the job number, time, alert type, description and Housecall Pro’s suggested resolution. The rule for all of them is the same: fix the cause first, then open the three-dot menu beside the alert and choose Sync again. Dismissing an alert with the X cannot be undone, and it does not stop the alert returning if the job is edited or pushed again.
“Invalid Item Ref”
What it means: The bank account that Housecall Pro credit card payments reconcile to was deleted in QuickBooks Online, most often a checking account.
The fix: Check the Banking page in Housecall Pro's QuickBooks settings. In QuickBooks Online, find the deleted account and click Make Active, then contact Housecall Pro chat support with the name of the correct checking account.
“Display Name Conflict”
What it means: An invoice was created for a duplicate customer profile.
The fix: Change the customer's name or merge the duplicate profiles, then click Reprocess.
“Duplicate Name Exists Error”
What it means: A customer, Service Plan or Product/Service in Housecall Pro is not linked to a QuickBooks record with the same Display Name.
The fix: Click Reprocess. If the alert stays, ask chat support to repair the link by hand. With several of these, reprocess as many as you can and send the rest to support.
“Name Already Taken”
What it means: QuickBooks already has a customer, vendor or employee with the same name.
The fix: Change the Customer Display Name in Housecall Pro to something unique, then click Reprocess.
“Tax Rate Unavailable”
What it means: The tax rate name and percentage on the job do not exist in QuickBooks Online.
The fix: Create the same name and rate in QuickBooks Online, or pick an existing rate on the Job Details page (or remove tax if nothing on the job is taxable), then reprocess. Compound tax rates are not supported.
“Account Period Closed”
What it means: The books in QuickBooks are closed for the invoice's date.
The fix: Reopen the period in QuickBooks Online and click Reprocess. If the invoice is already correct in QuickBooks, ask chat support to remove the alert instead.
“Invoice Number Already Taken”
What it means: QuickBooks Online already has an invoice with that number, usually one added by hand or one from before the integration.
The fix: Choose Sync again, then pick which numbering to regenerate from, the Housecall Pro sequence or the QuickBooks sequence, and submit.
“At least 1 line item is required”
What it means: The invoice has no Service or Material line from the Price Book.
The fix: Add a line item and reprocess, or ask chat support to remove the alert if the invoice will stay empty.
“QuickBooks Service Unavailable”
What it means: The connection to QuickBooks Online dropped during the push.
The fix: Click Reprocess.
Two of these do most of the damage in a trade shop. Tax Rate Unavailable appears whenever a technician picks a rate on the job that nobody created in QuickBooks with the same name, and Name Already Taken appears whenever a customer shares a name with a vendor or another customer, which happens often with property managers and builders. Fix the names and rates once, and both alerts stop.
Month-end habits
Four checks that keep QuickBooks matching Housecall Pro
Because the sync is one-way and edits do not follow, the books drift unless someone checks them on a schedule. These four checks, done once a month, catch what the sync cannot: open the Sync Alerts page and clear every alert; compare the month’s invoice total in Housecall Pro with the invoice total in QuickBooks and chase every gap to a specific invoice; confirm the card payouts landing in the bank match the payments synced to the Banking account; and list the invoices deleted or cancelled in Housecall Pro and delete or cancel them in QuickBooks by hand.
If you also run Jobber or ServiceTitan somewhere in the business, the same drift happens there for different reasons. Our guides on Jobber payouts and bank deposits and ServiceTitan export errors cover those. For what the monthly work should cost, see how much a bookkeeper costs for a trade shop.

Questions
Housecall Pro and QuickBooks Online sync questions
Does Housecall Pro sync both ways with QuickBooks Online?
No. Housecall Pro describes the integration as one-way, from Housecall Pro to QuickBooks Online, with a few exceptions: the first connection can import QuickBooks data, and payments entered in QuickBooks can be pulled into Housecall Pro by hand. Edits made in QuickBooks do not flow back.
How long does a Housecall Pro invoice take to appear in QuickBooks?
Housecall Pro says 2 to 5 minutes after a trigger: the job marked finished (if that trigger is switched on), the invoice sent, or the job or invoice marked paid. Printing an invoice is not a trigger.
I changed an invoice in Housecall Pro after it synced. Why is QuickBooks still wrong?
Line, price, quantity, description, date and due-term changes do not sync on their own after the first push. Open the job, go to the QuickBooks Online section, click the three dots and choose Push invoice to QBO. Payments are the exception: a payment entered in Housecall Pro syncs to the linked invoice automatically.
Should I dismiss a sync alert?
Only if you are sure you will never need that invoice to sync. Housecall Pro says dismissing cannot be undone, and it does not stop the alert coming back: editing the job or pushing the invoice or a payment again regenerates it. Fix the cause and use Sync again instead.
Do estimates, tips or sales receipts sync?
Estimates do not push to QuickBooks Online, by Housecall Pro's own statement. Its help page lists what does sync as invoices, payments including Service Plan payments, new customers and new Price Book items; it does not list tips or sales receipts as records of their own.
Which Housecall Pro plan includes the QuickBooks Online sync?
Housecall Pro's pricing page lists QuickBooks Online sync on the Essentials plan ($149 a month billed annually, $189 month to month) and on Max, which includes everything in Essentials. The Basic plan does not list it. Prices read October 25, 2026 and can change.
Can Books and Trucks keep the books for a shop on Housecall Pro?
Yes. Shops on Housecall Pro use the QuickBooks plan, from $599 a month: monthly books in QuickBooks Online, every bank and card account reconciled, the Housecall Pro sync alerts cleared, sales tax filed, monthly reports and an owner dashboard. All past books are cleaned up free when you start.
