Jobber to QuickBooks Online sync errors and how to fix them

What each common sync error means, what to change and where, in the order Jobber syncs your records. Every message and fix here comes from Jobber’s own help pages, linked in each section.

Why one sync error turns into many

The new Jobber integration sends records to QuickBooks Online one way, from Jobber, in real time, and it sends them in a fixed order: clients, then products and services, then invoices, then payments and refunds, then payouts. A record cannot sync until everything it depends on has synced. So a single client with a duplicate name can leave its invoices, the payments on those invoices and the payout that holds them all showing errors. Work through the list from the top. Fix the connection first, then clients and items, and many of the errors further down clear by themselves on the next Retry.

Jobber marks some messages as warnings. A warning means the record synced with a small change, such as a name cut short. An error means it did not sync. This guide covers the messages a trade shop sees most. Jobber’s own pages list more, and Jobber support can help with anything not covered there.

If your problem is that Jobber Payments payouts do not match the deposits in your bank account, start with our guide why your Jobber payouts don’t match your bank deposits. It covers the five usual causes, including deposits matched by hand, duplicates and tax rates, with the fix for each.

Step 1: the connection

Connection errors: when nothing syncs at all

If no record is syncing, start with the connection itself. Jobber's sync stops when the QuickBooks Online subscription has lapsed, when the user who set up the integration has been deactivated, or when QuickBooks has a temporary problem on its side. The message tells you which. A broken connection is fixed by re-authorizing from the link in the error, or by disconnecting and reconnecting from Jobber's App Marketplace. A short outage needs only a wait of about 30 seconds and a Retry. One error looks like a connection problem but comes from QuickBooks itself: a closed accounting period, which blocks any change dated inside it.

Jobber QuickBooks Online sync error messages, what each means and the fix
“Your Jobber account is no longer connected to QuickBooks Online”What it means: The link between the two accounts is broken. Jobber names one cause: the user who set up the integration was deactivated. The fix: Click the link in the error message and re-authorize. If you see “Your Jobber account is no longer connected” without the link, disconnect and reconnect the integration from the App Marketplace.
“Subscription period has ended or canceled or there was a billing problem”What it means: The QuickBooks Online subscription is no longer active. The fix: Make the QuickBooks subscription active again, then retry.
“The account period has closed and the account books cannot be updated”What it means: The books are closed in QuickBooks for the date of the record Jobber is sending. The fix: Make the change in QuickBooks Online yourself, or reopen the period. Only a primary or company admin can move the closing date, under Settings, Account and settings, Advanced, Accounting.
“Too many updates, Unable to connect to Jobber, Unable to connect to QuickBooks Online”What it means: Too many sync attempts in a short time, or a brief outage on one side. The fix: Wait 30 seconds and select Retry. A “QueryProcessingError: null” clears by itself once QuickBooks is working normally again.
“Permission denied error”What it means: The integration has lost the access it needs in QuickBooks. The fix: Disconnect and reconnect the integration. When reconnecting, set the Clients and the Products and services toggles to Off so the import is skipped.

Step 2: clients and items

Client, product and service errors

Clients and items sync before anything that uses them, so an error here holds up every invoice and payment behind it. The most common one is a duplicate name, because QuickBooks needs every customer and every product or service name to be unique. Our payouts guide walks through renaming and merging duplicates step by step. The other errors in this group are about length and type. QuickBooks accepts fewer characters than Jobber in client and item fields, so a phone number with notes typed after it can stop a client from syncing. An item set up as Inventory in QuickBooks cannot be changed to another type by the sync.

Jobber QuickBooks Online sync error messages, what each means and the fix
“Client already exists in QuickBooks, Duplicate product or service”What it means: Two records share a name, or the QuickBooks record is already linked to a different Jobber client. The fix: Rename one of them, or merge them if they are the same customer. The steps are in reason 4 of our payouts guide. Read the steps
“Too many characters”What it means: A client field is longer than QuickBooks allows. Jobber says this is often a phone number field with notes added to it.The fix: Check every field on the client and move the extra text to the internal notes or a custom field.
“This product or service is of type ‘Inventory’ in QuickBooks Online, and cannot be changed”What it means: The item exists in QuickBooks as an inventory item and Jobber is trying to sync it as another type. The fix: Create the item again in QuickBooks Online with the type you want.
“Two or more matching products or services found in QuickBooks”What it means: QuickBooks has more than one item with the same name, so the sync cannot tell which to use.The fix: Give every product and service in QuickBooks a unique name.
“Character limit exceeded, Invalid character (warnings)”What it means: The record synced, but QuickBooks cut a long field short or replaced a character it does not accept with a comma. The fix: No action is required. If you want the names to match, shorten the field or remove the character in Jobber.

Step 3: invoices

Invoice errors

An invoice syncs only after its client and every item on it are in sync, so the first check on any invoice error is whether the client shows its own error. Jobber's messages “Missing client in QuickBooks”, “John Doe is not in sync” and “Product or service not in sync” all mean the same thing: fix the record above it, then select Retry. The errors that belong to the invoice itself are about numbers. QuickBooks will not accept an invoice number it has already used, a total below zero, a discount larger than the subtotal, or tax it cannot calculate from matching rates. Tax rate errors are covered in our payouts guide.

Jobber QuickBooks Online sync error messages, what each means and the fix
“Invoice number already in use”What it means: QuickBooks already has an invoice with that number, often from before the sync was set up.The fix: Change the invoice number in Jobber to one QuickBooks has not used. Jobber counts up from the highest invoice number in the account.
“You must specify a transaction amount that is 0 or greater, The discount amount can’t be greater than the subtotal”What it means: The invoice total is negative, or the discount is bigger than the subtotal. The fix: Edit the invoice in Jobber so the total is at least $0.01.
“We’re sorry, QuickBooks encountered an error while calculating tax”What it means: The tax rates in Jobber and QuickBooks are not the same. The fix: Make the rates identical in both systems, then open the invoice in Jobber, select the tax rate again and save. For missing or substituted rates, see reason 5 of our payouts guide. Read the steps
“Transactions with inventory (QOH) products can’t be dated earlier than the Inventory Start Date”What it means: The invoice is dated before the “as of” date set on an inventory item in QuickBooks. The fix: Move the item’s “as of” date earlier in QuickBooks, or change the invoice date.
“Rounding Warning Pushing Invoice to QuickBooks (warning)”What it means: Jobber and QuickBooks round differently, and spread a discount differently when an invoice mixes taxed and untaxed items. The fix: The invoice syncs. If you want the totals to match to the cent, edit the total in QuickBooks to the Jobber amount.
“Invalid Reference Id : Names element id not found”What it means: Something linked to the invoice was removed or made inactive. The fix: Contact Jobber support. They open a ticket to sync it again, which Jobber says takes one to two business days.

Step 4: payments and payouts

Payment, payout and timesheet errors

Payments sync after their invoice, and a Jobber Payments payout syncs only after every payment in it. Many payment errors are simple setup gaps in QuickBooks: a payment method, a bank account or the Undeposited Funds account that the sync expects to find and cannot. Creating the missing list entry or account and selecting Retry clears them. One limit catches offices that type long notes into the reference field: QuickBooks accepts at most 21 characters, spaces included, for a check, transaction or confirmation number. The payout errors that come from matching deposits by hand, and the “TxnID Cannot Be Linked” payment error, are explained in our payouts guide.

Jobber QuickBooks Online sync error messages, what each means and the fix
“You cannot enter more than 21 characters in the doc_num field”What it means: The check number, transaction number or confirmation number on the payment is longer than QuickBooks allows. The fix: Shorten it in Jobber. Put any extra notes in the payment’s Details field, which syncs to QuickBooks as a memo.
“Payment method not found in QuickBooks Online, Payment method was not created in QuickBooks”What it means: The payment method used in Jobber does not exist in QuickBooks. The fix: Add it in QuickBooks under the Gear icon, All Lists, Payment Methods, then retry.
“Undeposited funds account not found”What it means: The sync puts payments into Undeposited Funds first, and QuickBooks has no account by that name. The fix: In QuickBooks, go to Accounting, Chart of Accounts and create an asset account named “Undeposited Funds”.
“Missing invoice in QuickBooks, Missing client in QuickBooks”What it means: The invoice or client behind the payment has not synced. The fix: Clear that record’s error first, then select Retry on the payment.
“Error pushing payout to QuickBooks Online. Payment(s) from the following invoices have not been pushed”What it means: The payout is older than your payout sync settings, or invoice numbers were changed in QuickBooks. The fix: Contact Jobber’s Success Team to backdate the payout sync. If a payout retry still fails, you may need to enter that payout in QuickBooks by hand.
“Bank account not found”What it means: The bank account picked for payouts is not in QuickBooks. The fix: Create it in QuickBooks under Accounting, Chart of Accounts, New, then retry.
“Unable to associate payments, refunds, or tips with bank deposit, TxnID Cannot Be Linked”What it means: The payments were already put on a deposit in QuickBooks, or the invoice was deleted there. The fix: Follow reasons 2 and 3 in our payouts guide. Read the steps
“Employee does not exist in QuickBooks”What it means: A Jobber timesheet belongs to someone with no matching employee in QuickBooks. The fix: Create the employee in QuickBooks with a name that matches Jobber exactly.

Older accounts

Still on the legacy Jobber integration?

Some Jobber accounts still run the legacy QuickBooks Online integration, and its messages and fixes are different. Jobber keeps a separate help page for them and says its legacy steps do not apply to accounts on the new integration. The legacy errors that come up most for trade shops are about field lengths: a client display name over 25 characters, a phone number over 30, an email over 100 or an address over 50 stops the client from syncing until the field is shortened in Jobber. Moving to the new integration is one way. Jobber says you cannot return to the legacy integration afterwards.

Jobber QuickBooks Online sync error messages, what each means and the fix
“String length specified does not match the supported length. Min:0 Max:25 supported.”What it means: The client’s display name is longer than 25 characters. The same message with Max:30 means a phone number, Max:100 an email, and Max:50 an address. The fix: Shorten the field in Jobber and sync again.
“Operation failed with errors: CustomerRef must be active”What it means: The customer was merged into another one or made inactive in QuickBooks. The fix: Undo the merge or make the customer active again in QuickBooks.
“Tax Error - check QuickBooks US/Global settings in Jobber”What it means: The wrong QuickBooks account type is selected in Jobber’s integration details. The fix: Select the right type. US companies use the US setting.
“You cannot use ” in a name, use a single quote instead”What it means: QuickBooks does not accept the inch symbol in a name, for example in an item called 3/4” fitting. The fix: Remove the symbol, use a single quote, or write “inch”.

Duplicate clients, tax rate names that differ, invoice numbers already used in QuickBooks and payments matched to deposits by hand cause errors on the legacy integration too. The wording differs, so search Jobber’s legacy page for the message you see. Jobber suggests copying the message and leaving out client names when you search, because the page shows generic messages.

So they don’t come back

Four habits that keep the sync error list short

Most repeat errors come from the same few habits in the office, so a short set of house rules prevents them. Make every change to clients, items, invoices and payments in Jobber. The sync runs one way, and an invoice edited or deleted only in QuickBooks leaves its payment unable to sync. Give every client and item a unique name before the first invoice goes out. Keep tax rates and payment methods the same in both systems, and add a new one to QuickBooks as soon as it is added in Jobber. Look at the error list every week, top down, so a single stuck client never holds up a month of payments and payouts.

Questions

Jobber sync error questions

In what order should I fix Jobber sync errors?

Top down: the connection first, then clients, then products and services, then invoices, then payments and refunds, then payouts. Each record waits for the ones above it, so one client error can hold up a long list of invoices and payments that clear by themselves once it is fixed.

Does a change I make in QuickBooks sync back to Jobber?

No. The new integration runs one way, from Jobber to QuickBooks, in real time. Make changes to clients, items, invoices and payments in Jobber, and let the sync carry them across.

Can we switch back to the legacy integration?

No. Jobber says that once you move to the new integration, you cannot return to the legacy one. When you move, anything created or changed since your last manual sync is sent across.

Do I need to do anything about warnings?

Usually not. “Character limit exceeded”, “Invalid character” and the rounding warning mean the record synced with a small change. Fix them in Jobber only if you want the two systems to match exactly. Tax rate warnings are different: they can leave the sales tax in QuickBooks different from what Jobber charged.

Who should connect Jobber to QuickBooks?

Jobber lists a deactivated user as one reason the connection stops. We suggest connecting with an admin login that will stay with the company, such as the owner’s, so the sync keeps running when staff change.
